Effective date: 9 September 2026
This policy explains what information the OpenMico website and desktop application may process. OpenMico is designed to keep core presentation work local and to make external connections optional and visible.
1. Information this website collects
Browsing the website needs no account, and it uses no advertising, tracking cookies or behavioural analytics. The one first-party measurement is a count of installer downloads, described in section 5. The organisation that hosts the website may receive standard request information such as your IP address, browser type, requested page, referring page, date and time, and diagnostic logs. That provider processes this information under its own terms and retention practices.
1a. If you create an OpenMico account
An account is only needed for cloud transcription and for a subscription; everything else in the desktop application works without one. If you create one, we store your email address, a password stored only as a salted hash (never the password itself), your subscription status as reported by our payment provider, the computers you have registered, and how many seconds of cloud transcription you have used.
We keep the usage record even if you remove a computer or stop subscribing. The introductory allowance is granted once per person and per computer, and a record that can be erased by removing a device would not be able to do that.
1b. How a computer is identified
So that the one-time introductory allowance stays one-time, the desktop application computes a one-way hash from characteristics of the computer and your operating system account, and sends only that hash. The characteristics themselves never leave your computer, and the hash cannot be reversed into a serial number, a network address or a username. It is specific to OpenMico and is of no use to any other service.
The application also sends the computer's name — its hostname — so that you can recognise your own machines in your account and remove the right one. Renaming the computer changes what is shown.
This is an abuse-prevention measure, not a means of identifying you or tracking you between services. It cannot identify a computer with certainty, and we do not treat it as if it could.
2. Information stored by the desktop application
Service plans, settings, Bible data, songs, themes and imported media are generally stored on the computer where OpenMico is installed. Anyone with access to that computer or its backups may be able to access those files. You are responsible for device security and for removing data before transferring or disposing of a device.
3. Microphone and transcription data
Listening features are optional and require microphone access. If you configure local transcription, audio is processed on your device by the local tools you install. If you configure a cloud transcription or AI provider, relevant audio, transcripts or prompts are sent to that provider to perform the request. OpenMico does not control the provider’s storage, training, security or deletion practices; review the provider’s policy before enabling it.
Audio does not pass through OpenMico’s servers. When you use cloud transcription on a subscription, our backend checks your entitlement and obtains a short-lived credential from the transcription provider on your behalf; the audio then travels directly from your computer to that provider. What our servers record is that a session ran, on which computer, and for how many seconds — never its content, and never the audio.
4. Imported content
Files and text you import remain on your device unless you deliberately use an external service, network output, stream, backup or synchronisation tool. Avoid importing personal or confidential information that is not needed for a service.
5. Downloads, donations, payments and external links
When you click a download button, the website records that a download of a given platform started, the date, the referring website's name (not the page), your country if our hosting provider reports it, and a keyed one-way hash of your IP address so that repeat clicks are not counted twice. No cookie is set, nothing is linked to an account, and the IP hash is erased after 90 days. Installer files, source hosting, donations and linked services may be provided by third parties. They may collect account, device, payment or usage information.
Subscription payments are handled entirely by Stripe, on Stripe’s own pages. Card details are never sent to, seen by or stored by OpenMico. We hold a Stripe customer identifier, the plan you are on and the dates your subscription covers; invoices and payment methods live in Stripe’s customer portal, which you can reach from your account page.
6. Cookies
OpenMico sets no advertising or analytics cookies. Signing in sets two strictly necessary cookies: one holding your session, which your browser’s scripts cannot read, and one carrying a token that protects against cross-site request forgery. Both are cleared when you sign out. Hosting or embedded third-party services may use essential storage or cookies under their own policies. If that changes, this policy and any required consent controls should be updated before deployment.
7. Children’s privacy
OpenMico is intended for church teams and is not directed at children. Do not use the website or application to collect children’s personal information without an appropriate lawful basis and safeguards.
8. Data rights and security
Depending on where you live, you may have rights over personal information held by a website operator or service provider. Because the application primarily stores data locally, many requests can be completed by viewing or deleting files on your own device. For information held in your OpenMico account, use the contact page; note that we keep an anonymised record of consumed transcription allowance even after an account is closed, because otherwise closing and reopening an account would be a way to claim the introductory allowance again.
On your own computer, your OpenMico sign-in is stored encrypted by your operating system’s keychain and is readable only by the application’s privileged process. No system is completely secure, so keep your operating system updated and restrict access to the presentation computer.
9. Changes and contact
We may update this policy as the project changes. Material revisions will be shown by changing the effective date. For privacy questions or requests relating to information controlled by the project, use the contact page. For a third-party service, contact that provider directly.
